Programme Assistant - MAP


  • Job Title: Programme Assistant 
  • Location: Gaza
  • Mission: Medical Aid for Palestinians (MAP) works for the health and dignity of Palestinians living under occupation and as refugees. MAP is the leading UK charity delivering health and medical care to those worst affected by conflict, occupation and displacement, in the occupied Palestinian territory and Lebanon
  • Job Purpose: Ensure the support for ECHC programme delivery during and post emergency
  • Salary scale: ILS 56,964 Full time equivalent ( ILS 4747 per month)
  • Hours: Full Time 
  • Reporting to: Senior Programme Manager
  • Responsible for: NA
  • Internal relationships: Senior Programme Manager, Programme/Projects’ Officers, Programme Assistants, Procurement Department, Finance Department, and the Gaza Director 
  • Contract: Fixed term contract 5 months

Duties and key responsibilities


Procurement

  1. Support technical committees of MAP with preparing the tables to be used in the analysis, organizing samples, taking notes, writing the decisions, and chasing signatures.
  2. Follow-up on delivery of items with related MAP officers, procurement department and authorities.
  3. Document the delivery of items via printing stickers, banners and others visibility materials & conducting photography, videography or through coordinating with media companies to implement visibility work needed.
  4. Follow-up with the fundraising team on any comments related to visibility materials produced.
  5. Use the Health Cluster website to enter the tracking data of MAP’s procurement through the online platform for Partners Activity Reporting (PAR).

Other duties

  1. Support implementation of medical missions as and when needed.
  2. Help programme teams in inventory counting efforts of shipments arriving to Gaza.
  3. Assist Programme Officers in collection of data for stories, anecdotes and other fundraising/advocacy related activities.

PERSON SPECIFICATION


Experience

  1. Experience of using a health information management system
  2. One year experience in supporting project delivery in term of supporting procurement activities, delivery of items, visual and written documentation of project activities etc. 
  3. Experience in effectively dealing with multidisciplinary staff; and ability to work with a broad spectrum of people including colleagues from MOH
  4. Demonstrated experience of at least 1 year working with INGOs/NGOs in a similar position

Skills and abilities

  1. Open minded, self-controlled, self-learner, and flexible
  2. Organised able to work alone or as part of a team
  3. Ability to work under pressure and under difficult circumstances and occasionally during the weekend
  4. Diplomatic and sensitive to cross-cultural issues
  5. Respect/follow the applied security guidelines and keep the confidentiality of assigned tasks

Knowledge

  1. Excellent communication skills and interpersonal skills
  2. Excellent written and verbal communication in English and Arabic
  3. Very good IT skills including excel and spreadsheets

Education/training

  • A university degree preferred in a health-related field

Personal attributes and other requirements

  1. Tact, polite, and able to handle difficult situations and solve problem
  2. Understand the work of MAP and commitment to our mission and services
